About the role
Cape Town Luxury Escapes is hiring a Villa Specialist to guide high-value clients through the process of choosing and booking the right luxury villa in Cape Town. This is a sales role, but it should feel consultative, informed, and service-led. Clients are not just buying accommodation. They are trusting us with an important trip, often involving family, friends, celebrations, privacy, logistics, and a meaningful budget.
You will be responsible for turning enquiries into confirmed bookings by understanding each client properly, recommending the right villas and supporting services, following up with discipline, and keeping the booking process clear from first conversation to confirmation.
The right person is commercially sharp, polished in writing and conversation, comfortable working at pace, and serious about detail. You should enjoy sales, but you should also care about matching guests to the right experience rather than pushing unsuitable options.

Key responsibilities
Client consultation and villa sales
- Respond to new and existing enquiries with warm, polished, and timely communication.
- Understand each client’s travel dates, group profile, budget, preferences, privacy needs, location requirements, and expectations.
- Recommend villas and supporting travel services that genuinely fit the client’s brief.
- Explain the value of Cape Town Luxury Escapes clearly, including our villa knowledge, service standards, local insight, and booking support.
- Manage the full sales conversation from first enquiry through to booking confirmation.
- Follow up consistently and professionally so strong enquiries do not go cold.
Booking coordination and client confidence
- Prepare clear villa options, proposals, and supporting information for clients.
- Coordinate with property suppliers, homeowners, and internal team members to confirm availability, rates, terms, and booking details.
- Handle rental agreements, guest information, booking notes, and handover details accurately.
- Support check-in preparation, breakage hold requirements, guest requests, and additional services where needed.
- Attend viewings and property checks when required so recommendations are grounded in real product knowledge.
- Spot potential issues early and help resolve them before they affect the client experience.
Pipeline, CRM, and team collaboration
- Maintain accurate CRM records, lead statuses, client notes, booking values, and follow-up tasks.
- Work toward clear monthly booking and conversion targets with disciplined pipeline management.
- Use email, WhatsApp, CRM tools, and outbound communication platforms to support client follow-up and campaign activity.
- Participate in team meetings around enquiries, bookings, timelines, service issues, and sales opportunities.
- Share useful market, client, and villa feedback with the wider team so our recommendations and processes keep improving.
- Document recurring client questions, objections, and process improvements so future team members can work more effectively.
What success looks like
- Clients feel advised, understood, and confident in the villas we recommend.
- High-quality enquiries are followed up consistently and converted into confirmed bookings.
- The sales pipeline is accurate, active, and easy for the team to understand.
- Guests are matched with the right villa, location, service level, and supporting arrangements for their stay.
- Suppliers and internal teams receive clear, accurate booking information.
- Sales targets are pursued with focus, professionalism, and strong client care.
Requirements and qualifications
Must have
- Strong sales instincts and confidence speaking with clients.
- Excellent written and spoken English, with a polished client-facing tone.
- Strong follow-through, organisation, and attention to detail.
- Comfort working with CRMs, email, WhatsApp, and client communication tools.
- A calm, professional approach to client questions, changes, objections, and complaints.
- Ability to balance commercial urgency with thoughtful, high-quality service.
- Ability to work on-site from the Cape Town office.
Nice to have
- Experience in luxury travel, hospitality, villa rentals, real estate, concierge, or high-touch sales.
- Knowledge of Cape Town, the Atlantic Seaboard, Southern Suburbs, and the Western Cape.
- Experience selling accommodation, travel services, experiences, transport, or bespoke guest arrangements.
- Confidence working with higher-value enquiries where detail, trust, and timing matter.
